Exhibition Opening Hours

- The official conference program runs from 08:00 to 19:00.
- The official opening will take place at the Czech Road Society stand from 13:10 to 13:20.
- The social evening begins at 19:30 on the first floor of Pavilion E; however, the exhibition area will remain open concurrently until 01:00.

INSTALLATION AND DISMANTLING OF THE EXHIBITION
Handover of Exhibition Space, Installation, and Dismantling
The indoor exhibition associated with the Road Conference will take place on the ground floor of Pavilion E, while the outdoor exhibition will be located between Pavilions B and C.
During installation and dismantling, access is permitted without registration. Outside of these times, the area is monitored and entry is not allowed.
The official contractor for the exhibition construction is THEMA: EXHIBITIONS s.r.o.
They offer complete implementation services.
Approval of the stand design is mandatory for all exhibitors not using the services of THEMA: EXHIBITIONS s.r.o. The maximum allowed height of an exhibit is 4.00 m. While the actual ceiling height in the pavilion is approximately 4.40 m, due to safety and technical constraints, all structures must be designed with a sufficient safety margin.
Access paths between stands must remain passable throughout the installation and dismantling periods.
Each exhibitor is responsible for removing all materials from the exhibition grounds by the end of dismantling, i.e., by September 12, 2025, at 17:00.
Any costs incurred by the Road Conference Organizer for unremoved materials will be invoiced to the exhibitor based on actual expenses. The exhibitor is fully responsible for the removal and disposal of materials.
Transport of Materials To/From Pavilion E and Outdoor Areas, Including Parking
Entry to the venue will only be granted to vehicles with a valid entry permit, which will be sent to exhibitors together with the organizational instructions.
The permit must be properly filled out and placed visibly in the vehicle.
Material Delivery/Pickup – Indoor Exhibition (Pavilion E)
- Delivery and removal of materials for stand installation and dismantling is only permitted during the official installation and dismantling times via Gate 4.
- Materials for indoor exhibits in Pavilion E can be unloaded:
- from the right-hand side of Pavilion E, or from the rear of Pavilion E.
- Designated unloading zones will be available for installation companies in these areas.
- After unloading, vehicles must be immediately moved to the designated free parking area VP A, which is available for the entire installation/dismantling period, in order to avoid blocking access for other exhibitors.
Material Delivery/Pickup – Outdoor Exhibition
- Materials for outdoor exhibits must be unloaded directly in the designated areas at their officially assigned locations.
Important Notices
- No vehicles may remain parked overnight within the exhibition grounds during installation or dismantling.
- After finishing work, all vehicles must be removed from the area.
- Vehicles left overnight will be towed at the owner’s expense.
- If needed, you may use the nearest covered parking facility – EXPOPARKING, where the maximum vehicle height for entry is 2.50 m.
Coordination of Unloading/Loading
Oversight will be in place to ensure smooth and efficient loading and unloading without unnecessary delays.

EXHIBITION PROCEDURE
Access to the exhibition is allowed only to properly registered conference participants, i.e. exhibitors or delegates.
EXHIBITOR REGISTRATION

Wednesday, September 10 – REGISTRATION: 07:30 – 15:00
- Registration is located on the ground floor of Pavilion E, directly at the main entrance.
- A name badge will be issued with the person’s name and the company under which they are registered.
- The exhibitor will receive a badge that, if catering or social evening options were ordered, will be visibly marked to allow access to the respective areas.
IT IS MANDATORY FOR ALL BOOTH STAFF TO WEAR THEIR BADGE VISIBLY AT ALL TIMES DURING THE CONFERENCE.
The badge grants access to the exhibition area (but not the conference program).
If lunch and coffee breaks were ordered, it grants access to the catering zone.
If the social evening was ordered, the badge serves as an entry pass to the event.
DELEGATE REGISTRATION

Thursday, September 11 – REGISTRATION: 08:00 – 13:00
- Registration is located on the ground floor of Pavilion E, directly at the main entrance.
Delegates will be sorted alphabetically by the first letter of their surname. Registration desks will be marked accordingly. - A badge will be issued with the delegate’s name and the registered company.
- Each delegate will receive a badge and a conference bag with materials (or a voucher to collect the bag).
- The delegate badge also serves as an entry ticket to the social evening on September 10.
IT IS MANDATORY FOR ALL DELEGATES TO WEAR THEIR BADGE VISIBLY AT ALL TIMES DURING THE CONFERENCE.
The badge grants access to all areas of the conference and the exhibition, and it also serves as a voucher for coffee breaks, lunches, and the social evening.
TRANSPORT AND PARKING
Parking for participants of the Road Conference is available at the adjacent parking area VP A, located near Pavilion E.
Access to the parking lot is via Gate 4.
Parking Fees (VP A)
- Daily rate: 200 CZK
- To secure a parking spot, you must request it directly at the gate.
Re-entry is permitted upon presentation of proof of payment.
After the social evening, vehicles may remain parked overnight, but even in this case, the parking must be reported in advance.
If you plan to leave after 2:00 AM on September 11, you must use Gate 5.
Until then, Gate 4 will operate as usual.
Payment on-site can be made by cash or credit card.
Alternative for Short-Term Parking:
EXPOPARKING – covered garage directly across from Pavilion E, next to Gate 4.
Price: approx. 30 CZK/hour incl. VAT, valid all day and night
6:00–21:00 and 21:00–6:00
Public Transport
If you are using Brno’s public transport, we recommend checking the timetables of all lines on the website of the Brno Public Transport Company.
Near Gate 4 is the Velodrom stop, served by bus lines 44 and 84.
OTHER INFORMATION FOR EXHIBITORS
Electrical Connections
Electricity will be turned off in the hall overnight; however, refrigerator circuits will remain powered 24/7.
Power capacity selection is listed in the order form items.

Internet Access
Free internet access is available throughout the conference.
You can connect to the network under the name: VIAKONTROL volná konferenční wifi.
Thank you for supporting the Wi-Fi network.
General and Daily Cleaning
Cleaning is carried out after booth construction is completed, and each evening after exhibition hours, if ordered via the official order form.
The service includes daily vacuuming of the booth carpet, wiping down surfaces, and removal of daily waste.
Any extra cleaning beyond these services will be charged separately.
Fresh Catering and MAKRO Supplies
Fresh catering will be delivered daily according to your order between 08:30 and 09:00 (exceptions apply to companies that have requested a different time slot for delivery).
Products from the MAKRO wholesale order will be delivered to your booth on September 8.

The conference app is available again this year. We strongly recommend downloading it to stay updated.

Exhibition Supervision and Security
The organizer provides general security for the exhibition area outside of opening hours.
During this time, entry is not allowed.
Individual stand security is not provided and must be ordered separately if needed.
We recommend exhibitors secure their booths against damage or theft — for example, by locking valuable items away during staff absence or overnight.
Brno Exhibition Centre and the Organizer are not liable for any theft or damage.
Storage of Empty Packaging
No waste or empty packaging (e.g. boxes, crates, etc.) may be left in side aisles or behind stands.
If an exhibitor or their contractor leaves materials in these areas, the Organizer may remove them and charge the exhibitor.
We recommend contacting the official freight forwarder listed above to arrange storage of empty packaging during the event.
Insurance
Exhibitors are responsible for insuring their exhibited items, goods, or packaging.
Brno Exhibition Centre and the Organizer assume no liability for damage, loss, or theft, or for personal injury.
All insurance costs and arrangements are the responsibility of the exhibitor.
Note for Exhibitors:
If your booth exceeds a height of 2.5 meters, the rear side must be covered with white material.
This is to maintain a uniform and aesthetic appearance of the exhibition area for neighboring stands.
FIRE SAFETY AND SECURITY REGULATIONS
Smoking and open flames are strictly prohibited inside all pavilions.
Smoking is only permitted in designated areas, approved by the fire safety officer.
All emergency exits must remain completely unobstructed at all times.
Aisles between rows of booths must be at least 3 meters wide.
Clearance is especially required in areas where there are:
- Escape routes
- Electrical panels
- Water supplies
- Fire safety equipment (e.g. fire hydrants, smoke detectors)
If a booth is placed near glass walls or structural elements of the building, it must be positioned at least 150 cm away from the surface.
No flammable materials are allowed near these surfaces, and the area must remain clear at all times.
The event organizer must be able to provide fire retardancy certificates for all booth materials and displayed products.
The use, storage, or handling of flammable materials or devices such as burners, stoves, portable heaters, pressurized gas containers (e.g., propane-butane), or compressed gases is strictly forbidden in all pavilion areas.
The organizer is also responsible for ensuring that maximum occupancy limits for each hall are not exceeded.
Any activities involving grinding, welding, open flames, etc., must be approved in advance by the safety officer of Brno Exhibition Centre or the Fire Rescue Service commander.
GDPR – Personal Data Protection
Photos and video footage will be taken throughout the event. These will be used on the event website, social media, and in materials produced by the Road Conference and the Czech Road Society z.s.
The data controller is Czech Road Society z.s.
All recordings are made for marketing purposes.
